7.Our Services
Handling of Applicant Data
We offer you the opportunity to apply with us (e.g., via email, by post, or through the online application form). Below, we inform you about the scope, purpose, and use of the personal data collected during the application process. We assure you that the collection, processing, and use of your data is carried out in accordance with applicable data protection laws and all other legal provisions, and that your data will be treated with strict confidentiality.
Scope and Purpose of Data Collection
When you submit an application to us, we process the personal data associated with it (e.g., contact and communication data, application documents, notes from interviews, etc.), to the extent necessary for the decision regarding the establishment of an employment relationship. The legal basis for this is § 26 BDSG under German law (initiation of an employment relationship), Art. 6 (1) (b) GDPR (general contract initiation), and – if you have provided consent – Art. 6 (1) (a) GDPR. Consent can be revoked at any time. Your personal data will only be shared within our company with individuals who are involved in processing your application.
If the application is successful, the data you submitted will be stored in our data processing systems based on § 26 BDSG and Art. 6 (1) (b) GDPR for the purpose of executing the employment relationship.
Retention Period of Data
If we are unable to extend a job offer to you, if you decline a job offer, or if you withdraw your application, we reserve the right to retain the data you provided based on our legitimate interests (Art. 6 (1) (f) GDPR) for up to 6 months from the completion of the application process (rejection or withdrawal of the application). After this period, the data will be deleted, and physical application documents will be destroyed. The retention serves, in particular, as evidence in case of a legal dispute. If it is apparent that the data will be required after the 6-month period (e.g., due to a potential or ongoing legal dispute), deletion will only occur when the purpose for further retention no longer applies.
A longer retention may also occur if you have given explicit consent (Art. 6 (1) (a) GDPR) or if legal retention obligations prevent deletion.
Inclusion in the Applicant Pool
If we are unable to offer you a position, there may be the possibility of including you in our applicant pool. In the case of inclusion, all documents and information from your application will be transferred to the applicant pool to contact you in the event of suitable vacancies.
Inclusion in the applicant pool takes place solely based on your explicit consent (Art. 6 (1) (a) GDPR). The granting of consent is voluntary and unrelated to the current application process. The individual can withdraw their consent at any time. In this case, the data will be irrevocably deleted from the applicant pool, unless there are legal retention requirements.
The data from the applicant pool will be irrevocably deleted no later than two years after the consent was given.
